The role

This is our front of house role and it is the most visible job in the firm. You are the first person a new client speaks to and the first person they meet when they arrive. You set the tone for everything that follows.

You will sit at the centre of our administration team and report to our Office Manager.

Day to day you will:

  • Answer new business enquiries by phone and email, from the first question through to booking the appointment
  • Welcome clients on arrival, settle them in and look after them while they wait
  • Run our meeting rooms, including setting up, refreshments and turnaround between appointments
  • Manage incoming and outgoing mail and documents, including scanning and registering documents electronically
  • Look after client intake and client records, so the information our lawyers work from is accurate and current
  • Maintain our safe custody documents and procedures
  • Schedule client appointments and coordinate meetings across the team
  • Keep reception and our client areas immaculate
  • Provide general legal secretarial support to the team
  • Handle our outside work, including the post office, court and probate registry lodgements
  • Tell us where the client experience can be better and help us improve it

The role is based in our Perth CBD office. We are open to full-time or part-time hours from 0.6 FTE.

About you

This role suits someone who wants a career in client service and administration and wants to build it with us. It is not a stepping stone into a legal or paralegal stream. This job is for someone who looks after people well and who is a strong administrator.

  • You are warm, calm and hard to rattle, including with people who are upset, grieving or under pressure.
  • You communicate clearly in person, on the phone and in writing, and you adjust how you explain things to suit the person.
  • You leave people better than you found them, whether that is a client, a colleague or someone who has telephoned the wrong firm.

How you work

  • You take charge of an enquiry. When a new client telephones you find out what they need, get the details right, work out how it should be dealt with and follow it through without waiting to be told.
  • You are accurate and you check your own work without close supervision.
  • You can hold a full reception, a ringing telephone and a deadline at once and work out what comes first without dropping any of it.
  • You are confident with Word and Outlook and you pick up new systems quickly.

Experience in reception, client service, hospitality or administration is well regarded. What matters most to us is how you treat people and how carefully you work.

Remuneration

Salary will be commensurate with experience, reflecting your skills and your contribution to the firm.
